Creator Media

 

What This Page Does

This page lets you see and manage all the photos, videos, and audio files that creators have uploaded on your site. You can check whether files have finished processing, preview images, filter by creator or file type, and verify that media is available for your visitors to see.

Navigate to Admin Panel > Creators > Creator Media


Understanding the Page

When you open this page, you will see three main areas: a statistics bar at the top, filter controls below it, and the media listing that takes up the rest of the page.

Statistics Bar

At the very top, five summary cards give you a quick snapshot of all creator media on your site:

Card What It Shows
Total Media The total number of media files across all creators
Images How many image files have been uploaded
Videos How many video files have been uploaded
Audio How many audio files have been uploaded
Total Size The combined file size of all media on your site

Note: These numbers reflect all media on your site, not just what is currently shown in the filtered list below.

 

Filter Controls

Below the statistics bar, you will find a row of filters that let you narrow down which media you see. These are covered in detail in the Filters and Search section below.

Media Listing

The main area of the page shows all the creator media that matches your current filters. You can view this as visual cards or as a compact table -- see View Modes below.


Common Tasks

How to Find Media from a Specific Creator

  1. Type the creator's name or username into the Creator Search box.
  2. Click Filter.
  3. The page updates to show only media from that creator.

 

Tip: You can search by either the creator's display name or their username -- whichever you remember.

 

How to Check on Media That Failed to Process

Sometimes a creator uploads a file and it does not process correctly. To find these files:

  1. Select Failed from the Processing Status dropdown.
  2. Click Filter.
  3. The page shows only media that had problems during processing.
  4. Note which creators and posts are affected so you can follow up.

 

Warning: Media with a "Failed" status will not appear on your public site. Visitors cannot see these files until the issue is resolved. If you see failed media, contact your technical support team for help.

 

How to View All Media Attached to a Specific Post

  1. Enter the post number into the Post ID field.
  2. Click Filter.
  3. The page shows only media files attached to that post.

 

Tip: You can also get here quickly from the Creator Posts page by clicking the View Media button on any post.

 

How to Preview an Image

  1. Find the image in the media listing (in either Card View or List View).
  2. Click the Open File button.
  3. A large preview of the image appears on screen.
  4. To close the preview, click the X button in the top-right corner, press the Escape key on your keyboard, or click anywhere outside the image.

How to Open a Video or Audio File

  1. Find the video or audio file in the media listing.
  2. Click the Open File button.
  3. The file opens in a new browser tab where you can play it.

How to View the Creator's Profile

  1. Find any media item from the creator you are interested in.
  2. Click the View Creator button on that item.
  3. You are taken to the creator's profile details page.

How to View the Original Post

  1. Find the media item you are interested in.
  2. Click the View Post button.
  3. You are taken to the Creator Posts page, filtered to show that specific post.

Searching

Type a creator's name or username into the Creator Search box and click Filter. The results update to show only media from matching creators.

Filtering

Use the dropdown filters to narrow down what you see:

Filter What It Does
Creator Search Shows only media from a specific creator (search by name or username)
Media Type Shows only images, only videos, or only audio files
Processing Status Shows only files with a specific status (see below for what each status means)
Sort By Changes the order of results -- newest first, oldest first, largest first, or smallest first
Post ID Shows only media attached to a specific post number
Per Page Controls how many items appear on each page (30, 60, or 100)

To clear all filters, click the Reset button.


Understanding Processing Status

Every media file goes through a processing step after it is uploaded. The status tells you where it is in that process:

Status What It Means
Completed The file has been fully processed and is visible on your site
Pending The file is waiting in line to be processed
Processing The file is being processed right now
Failed Something went wrong during processing
Note: Files with "Pending" or "Processing" status are not yet visible to your site visitors. They will appear automatically once processing finishes.

 

Warning: If you see files stuck in "Pending" or "Processing" for a long time, or if you have many files with "Failed" status, contact your technical support team. There may be a background task that needs attention.

 


View Modes

This page offers two ways to view your media:

  • Card View -- Shows each media item as a visual card with a thumbnail preview, creator information, file details, and action buttons. This is the best view for browsing and previewing content.
  • List View -- Shows media in a compact table format with one row per item. This is the best view when you need to scan through many items quickly.

Click the view toggle buttons at the top of the media listing to switch between them. Your preference is remembered automatically -- the next time you visit this page, it will open in whichever view you last used.


Customizing List View Columns

When you are in List View, you can control which columns appear in the table and what order they are in.

  1. Switch to List View if you are not already in it.
  2. Click the Customize List Columns bar to expand the column options.
  3. Check or uncheck boxes to show or hide columns.
  4. Drag columns left or right to change their order.
  5. Click Apply to save your changes.

 

Note: Some columns (Thumbnail, Type, Status, Creator, and Actions) are always shown and cannot be hidden. These appear with a yellow background in the customizer.

 

To go back to the default column layout, click Reset to Default.

Available Columns

Column What It Shows
Thumbnail A small preview of the media file
Media ID The unique number assigned to this file
Type Whether the file is an image, video, or audio
Status The processing status (Completed, Pending, Processing, or Failed)
Creator The creator who uploaded the file
Post ID The post number this file belongs to
Dimensions The width and height of the file (for images)
File Size How large the file is
Duration How long the file plays (for videos and audio)
Lock Type Whether the media is free, paid, or for subscribers only
Storage Which storage location holds this file
Created The date the file was uploaded
Actions Buttons to preview the file, view the post, or view the creator

What the Media Cards Show

When using Card View, each card includes several pieces of information:

  • Preview area -- A thumbnail of the image, or an icon for videos and audio files. Colored labels indicate the file type (image, video, or audio) and the processing status.
  • Creator info -- The creator's profile picture, display name, and username.
  • File details -- The media ID, post ID, file size, access type (free, paid, or subscribers only), image dimensions (for photos), and upload date.
  • Web addresses -- If the file has been distributed to your content delivery network, the addresses are shown here. You can click them to verify the file is accessible.
  • Merchandise info -- If the post includes a product for sale, the product name and price are shown.
  • Action buttons -- View Post, View Creator, and Open File.

Page Summary

At the bottom of the page, you will see a summary line showing how many items are displayed out of the total, along with a breakdown of how many files are in each processing status.


Tips for New Users

 

Tip:
  • Start by filtering for Failed status to catch any problems early. Fixing failed media quickly means your creators' content reaches their audience sooner.
  • If the page feels slow or cluttered, switch to List View and reduce the Per Page setting to 30. This makes everything load faster.
  • Use the Sort By filter set to "Largest First" to find your biggest files. This is useful for keeping an eye on storage usage.
  • You do not need to do anything to make media appear on your site. Once a creator uploads a file, it is processed automatically and becomes visible when processing completes.

 


Troubleshooting

Media thumbnails are not showing

What you see: Cards or rows appear without a preview image, or show a broken image icon.

How to fix it:

  1. Check the file's processing status. If it says Pending or Processing, the thumbnail has not been created yet. Wait a few minutes and refresh the page.
  2. If the status is Failed, the file could not be processed. Contact your technical support team for assistance.
  3. If the status is Completed but there is still no thumbnail, there may be a storage configuration issue. Contact your technical support team.

 

What you see: The page shows a message saying no media was found.

How to fix it:

  1. Double-check your spelling in the Creator Search box.
  2. Make sure you have not set conflicting filters. For example, searching for a creator while also filtering by a Post ID that belongs to a different creator will return no results.
  3. Click Reset to clear all filters and start over.

 

Media is stuck in "Pending" or "Processing" for a long time

What you see: Files uploaded hours ago still show Pending or Processing status.

How to fix it:
This usually means a background task on your server needs attention. Contact your technical support team and let them know that creator media processing appears to be stalled.

The page loads slowly

What you see: The page takes a long time to load, especially with many media files.

How to fix it:

  1. Switch to List View instead of Card View -- it loads faster with many items.
  2. Reduce the Per Page setting to 30.
  3. Use filters to narrow your results instead of browsing all media at once.

 

Image preview does not open when I click "Open File"

What you see: Nothing happens when you click the button, or the preview appears blank.

How to fix it:

  1. Try refreshing the page and clicking again.
  2. Make sure the file's processing status is Completed. Files that are still processing cannot be previewed.
  3. If the problem continues, try a different web browser to rule out a browser-specific issue.
