Gallery Administration

 

What This Page Does

This is your central hub for managing all the photo galleries on your site. From here you can browse, search, review, approve, edit, and organize galleries. You can also schedule when galleries appear, assign categories and models, manage thumbnails, and handle bulk tasks across many galleries at once.

How to Get Here

Navigate to Admin Panel > Galleries > Gallery Admin


Understanding the Page

When you first open this page, you will see several areas working together to help you manage your galleries.

Statistics Bar

At the top of the page, five cards give you a quick snapshot of your gallery counts:

Card What It Shows
Total Galleries The total number of galleries in your system
Pending Review Galleries waiting for you to approve or reject them
Approved Galleries that are live and visible on your site
Disapproved Galleries you have rejected
Unreviewed Galleries that have not been looked at yet

Header Buttons

A sticky bar at the top provides your main action buttons:

Button What It Does
Save Changes Saves all the edits you have made on the page
Approve Approves the selected galleries (or all visible ones if none are selected)
Disapprove Rejects the selected galleries
Delete Removes the selected galleries
Warning: When no galleries are selected with checkboxes, the Approve, Disapprove, and Delete buttons affect ALL visible galleries on the page. Always double-check your selection before clicking.

View Modes

You can view your galleries in two different ways:

  • Card View -- Shows each gallery as a visual card with its thumbnail, fields, and editing options. Best for reviewing gallery quality and making detailed edits.
  • List View -- Shows galleries in a compact table with one row per gallery. Best when you need to work through a large number of galleries quickly.

Click the view toggle icons at the top right of the page to switch between them.


Common Tasks

  1. Select what you want to search by from the Search Field dropdown (for example, All Fields, URL Only, Title Only, Keywords, Category, or Model).
  2. Type your search term in the text box.
  3. Click Search.
  4. Your results appear below.

 

Tip: The All Fields option searches across everything at once -- titles, descriptions, keywords, categories, models, and more. Use it when you are not sure where the information is stored.

 

How to Review and Approve Galleries

When new galleries come in, they need your approval before they appear on your site.

  1. Check the Pending filter on the left side of the page to show only galleries waiting for review.
  2. Click Search to load the pending galleries.
  3. Look through each gallery's thumbnail and details.
  4. For each gallery, set the Status dropdown to Approved or Disapproved.
  5. Click Save Changes at the top to apply your decisions.

 

Tip: If most of your pending galleries look good, you can approve them all at once by clicking the Approve button in the header bar. Then go back and individually disapprove the few that do not meet your standards.

 

In Card View:

  1. Find the gallery you want to edit.
  2. Change any of the fields directly on the card (title, description, keywords, categories, etc.).
  3. Click Save Changes at the top when you are done.

 

In List View:

  1. Find the gallery in the table.
  2. Click its ID number to open a full editing panel.
  3. Make your changes in the editing panel.
  4. Click Save inside the panel.
  5. Close the panel by clicking the X, pressing the Escape key, or clicking outside the panel.

 

 

Tip: The editing panel in List View is great for making quick changes to individual galleries without switching to Card View.

 

How to Assign Categories

Each gallery can belong to up to 5 categories.

  1. Find the gallery you want to categorize.
  2. Select a category from the first dropdown. This becomes the gallery's primary category.
  3. Click the green + button to add more categories (up to 5 total).
  4. Click the red - button next to any secondary category to remove it.

To apply one category to many galleries at once:

  1. Select a category on any gallery card.
  2. Click the purple ALL + button next to it. This adds that category to every gallery visible on the page.

 

To remove a category from many galleries at once:

  1. Click the orange ALL - button next to the category you want to remove.

 

How to Tag Models

Each gallery can be tagged with up to 10 models or performers.

  1. Find the gallery you want to tag.
  2. Start typing a model's name in the model search box.
  3. Select the correct model from the dropdown suggestions.
  4. The model appears as a tag. Click the x on any tag to remove it.

If the model does not exist yet:

  1. Type the new model's name in the search box.
  2. A + Create [name] option appears at the bottom of the suggestions.
  3. Click it or press Enter to create the model instantly without leaving the page.

 

 

Note: New models created this way are saved right away. You can add more details to their profile later from the Models management page.

 

  1. Find the gallery you want to remove.
  2. Click the Delete button (the X icon) on the gallery card.
  3. Confirm when prompted.

 

Warning: Deleting a gallery is permanent and cannot be undone. Make sure you truly want to remove it before confirming.

 

How to Quick-Approve or Quick-Delete

Each gallery card has quick action buttons in its header:

  • Click the checkmark icon to instantly approve a gallery without saving the whole page.
  • Click the X icon to instantly delete a gallery.

The card briefly flashes to confirm the action was completed.


Searching

Type a keyword into the search box, choose what field to search, and click Search. Results update on the page.

Filtering by Category

Check one or more category checkboxes on the left side, then click Search to show only galleries in those categories.

Filtering by Status and Type

Use the gallery type filter checkboxes to narrow results:

Approved Galleries currently live on your site
Disapproved Galleries you have rejected
Waiting Galleries in the queue
Has Photo / No Photo Galleries with or without thumbnail images
Explicit / Non-Explicit Content flagged as explicit or not
Reviewed / Unreviewed Whether you have looked at the gallery yet
Has Video / No Video Galleries that contain video content
Featured Galleries marked for prominent placement

Sorting Results

Use the Sort By dropdown to order your galleries by ID, title, date, clicks, or rating. You can also click column headers in List View to sort.

Setting How Many to Show

Use the Records Limit dropdown to choose how many galleries appear per page (10, 20, 50, 100, or 200).

 

Tip: Start with 20 per page. Showing too many galleries at once can make the page load slower, especially in Card View.

 


The scheduler helps you plan when galleries go live on your site.

Viewing the Schedule

  1. Check the Show Schedule box at the top of the page.
  2. A calendar grid appears showing the next 30, 60, or 90 days.
  3. Each day shows a count of how many galleries are scheduled for it.
  4. Today's date is highlighted with a bold green border.
  5. Days with scheduled galleries have a green border. Empty days are gray.

Filtering by Date

Click any day on the calendar to show only galleries scheduled for that date. Click Show All to go back to viewing everything.

Scheduling Individual Galleries

  1. Find the gallery you want to schedule.
  2. Click the date field on its card.
  3. Pick a date from the calendar that appears.
  4. Click Save Changes.

Scheduling Many Galleries at Once

  1. Search for or filter the galleries you want to schedule.
  2. In the Bulk Actions panel, select Random Schedule.
  3. Pick a start date and an end date.
  4. Click Apply to All Results.
  5. The system evenly distributes your galleries across that date range.

 

Note: Galleries with future schedule dates are held back and will not appear on your site until their scheduled date arrives.

 


View Modes

Card View

Each gallery appears as a visual card showing:

  • A thumbnail preview
  • Status, category, and model selectors
  • Title, description, and keyword fields
  • Quick action buttons (approve, delete, scan, etc.)
  • Checkbox flags for special properties

Card View is best when you need to see the gallery's thumbnail while editing.

List View

Galleries appear in a compact table. You can customize which columns are shown:

  1. Click Customize Columns at the top.
  2. Check or uncheck columns to show or hide them.
  3. Drag columns to change their order.
  4. Click Apply to save your layout.
  5. Click Reset to Default to go back to the original column setup.

 

Tip: List View loads faster and shows more galleries on screen. Switch to it when you need to review or edit many galleries quickly.

 


Bulk Actions

To perform an action on multiple galleries at once:

  1. Check the boxes next to the galleries you want to affect.
  2. Use the Bulk Actions panel to choose what you want to do.
  3. Click Apply to All Results.
  4. Confirm if prompted.

Available Bulk Actions

Action What It Does
Add Category Adds a category to all selected galleries
Remove Category Removes a category from all selected galleries
Add Model Tags a model on all selected galleries
Remove Model Removes a model tag from all selected galleries
Set Flag Turns a property on or off (such as Explicit, Featured, Reviewed, or Video)
Set Vote Sets a vote value for all selected galleries
Random Schedule Spreads galleries randomly across a date range you choose
Warning: When you click Apply to All Results, the action affects every gallery matching your current search -- not just the ones on the current page. Always check your search filters before applying bulk actions.

Special Commands

The Special Commands dropdown provides advanced operations:

Command What It Does
Detailed Returns to the normal gallery editing view
Bulk Review Switches to a thumbnail grid for fast visual review (see below)
Delete Deletes all galleries matching your current search
Export Downloads your filtered galleries as a file
Export All Downloads every gallery as a file
Remove Dupes Finds and removes duplicate galleries, keeping the newest copy
Keyword Density Shows which keywords appear most often
Keyword Popularity Shows which keywords get the most clicks
Randomize Votes Sets random vote values within a range you specify
Randomize Stats Sets random statistics within a range you specify
Replace Find and replace text across a field in all matching galleries

Bulk Review Mode

Bulk Review is a special view designed for reviewing many galleries quickly.

How to Use Bulk Review

  1. Select Bulk Review from the Special Commands dropdown.
  2. Click Execute.
  3. A grid of thumbnail images appears.
  4. Check the boxes under the galleries you want to act on (or use Select All).
  5. At the bottom of the grid, choose a status (Approved, Delete, etc.), a category, and whether to flag as explicit.
  6. Click Execute to apply your choices to all checked galleries.

Tagging Keywords in Bulk Review

A keyword panel appears with clickable buttons organized by group (body type, hair style, action, etc.):

  1. Click any keyword buttons to build your keyword list.
  2. Choose how keywords are applied:
  • Off -- Keywords will not be applied.
  • Replace -- Replaces existing keywords with your new ones.
  • Add -- Adds your new keywords without removing existing ones.
  1. Click Execute to apply to all checked galleries.

 

Tip: Click the keyword mode text (Off / Replace / Add) to cycle through the options. This makes it easy to switch modes as you work.

 


Search and Replace

To find and replace text across many galleries at once:

  1. Check the Search & Replace box at the top of the page.
  2. A panel appears with three fields:
  • Operate On -- Choose which field to search in (title, description, keywords, etc.)
  • Replace This -- Type the text you want to find.
  • With This -- Type what you want to replace it with.
  1. Click Execute.

 

Warning: Search and replace affects ALL galleries that match your current search filters. Test with a small set of galleries first by narrowing your search before running a replace.

 


Batch Operations

These operations run tasks across many galleries automatically.

Scanning

Auto Scan Checks your galleries against your automated rules
404 Check Finds galleries with broken links
302 Check Finds galleries with redirected links
Scan URLs Checks gallery pages for updated information

Thumbnails

Operation What It Does
Auto Thumb Grabs thumbnail images for galleries that are missing them
Auto Thumb All Re-grabs thumbnails for all galleries
Resize Resizes existing thumbnails to your site's standard size
Resize All Resizes all thumbnails

Auto-Fill Information

Operation What It Does
Auto Description Pulls descriptions from gallery pages for galleries missing descriptions
Auto Title Pulls titles from gallery pages for galleries missing titles
Auto Keyword Pulls keywords from gallery pages for galleries missing keywords
Note: These auto-fill operations visit each gallery's web page and extract the relevant information. They work best with galleries that have well-formatted source pages.

Other Operations

Show Domains Lists all the different websites your galleries come from
Reset Scanner Allows all galleries to be scanned again
Schedule Distributes galleries evenly across a date range

Exporting Galleries

You can download your gallery data for use outside the admin panel.

How to Export

  1. Use search and filters to select the galleries you want to export (or skip this step to export everything).
  2. Select Export (for filtered results) or Export All (for everything) from Special Commands.
  3. Click Execute.
  4. Download links appear for:
  • A spreadsheet-compatible file (CSV)
  • A compressed version of the same file
  • An HTML page with thumbnails
  • An HTML table format

Removing Duplicate Galleries

If the same gallery has been added more than once, you can clean up the duplicates:

  1. Select Remove Dupes from Special Commands.
  2. Click Execute.
  3. The system scans for galleries with the same web address.
  4. It keeps the newest version and removes the older copies.
  5. A report shows you exactly what was kept and what was removed.

 

Warning: Removing duplicates is permanent. Consider making a backup before running this on a large number of galleries.

 


AI Review Tools

Your admin panel includes AI-powered tools to help review galleries faster:

  • Review AI (on each gallery card) -- Sends a single gallery to the AI for analysis.
  • Batch AI (on each gallery card) -- Opens the batch AI review tool for processing multiple galleries.

Visual indicators help you spot unreviewed content:

  • A pulsing green button means the gallery has not been reviewed yet.
  • A red button means the gallery has already been reviewed.

The Copy-to-All (+) Buttons

Throughout the gallery cards, you will see small green + buttons next to fields. These are time-savers for batch editing:

  1. Set a value on one gallery (for example, select a status or type keywords).
  2. Click the + button next to that field.
  3. The same value is instantly copied to the same field on every other gallery visible on the page.

This works for status, vote, schedule date, categories, models, text fields, and checkbox flags.

 

Tip: The (+) buttons are one of the fastest ways to apply the same setting to many galleries. Edit one gallery the way you want it, then use (+) to copy that setting to the rest.

 


Understanding what each status does helps you control what visitors see:

Status What Happens on Your Site
Approved The gallery is live and visible to visitors
Pending The gallery is hidden, waiting for your review
Waiting The gallery is hidden, sitting in the queue
Disapproved The gallery is hidden, rejected by you
Blacklisted The gallery is hidden, blocked
Archived The gallery may still be visible depending on your site settings

Fields That Affect How Galleries Appear

Description Text that appears on the gallery page and in search results
Keywords Help visitors find the gallery through search
Categories Which category pages the gallery appears on
Models Links the gallery to model profile pages
Thumbnail The preview image visitors see in gallery listings
Explicit Controls visibility based on visitor content preferences
Featured Gives the gallery prominent placement on your site
Vote / Rating Affects where the gallery appears in sorted listings
Schedule Date Controls when the gallery becomes visible to visitors

Settings and Options

Each gallery card has a row of checkboxes that control special properties:

Explicit Marks the gallery as containing explicit content
Featured Gives the gallery prominent placement on your site
Reviewed Marks that you have personally reviewed this gallery
Has Video Indicates the gallery contains video content
404 Flags that the gallery's source link is broken
No Ref Hides where visitors came from when they click the gallery link
No Scan Skips this gallery during automated scanning

Toggle Controls

Search & Replace Opens the search and replace panel

Tips for New Users

 

Tip:
  • Start by reviewing pending galleries daily to keep your site fresh and clean.
  • Use List View for fast bulk work and Card View when you need to check thumbnail quality.
  • Take advantage of the (+) buttons to copy settings from one gallery to many others.
  • Use the scheduler to spread out new galleries over time rather than publishing them all at once.
  • Run the 404 Check regularly to find and remove galleries with broken links.
  • Use the Auto Thumb operation to grab thumbnails for galleries that are missing them.
  • When in doubt about a gallery, set it to Pending rather than deleting it. You can always come back to it later.

 


Troubleshooting

My changes are not saving

What you see: You make edits to galleries but they do not stick after clicking Save.

How to fix it:

  1. Make sure you are clicking the Save Changes button at the top of the page.
  2. Look for a green confirmation message in the top-right corner of the screen. If you see a red error message instead, try refreshing the page and making your changes again.
  3. If the problem continues, try logging out and back in.

 

The page says "security validation failed"

What you see: An error message about CSRF or security validation appears when you try to save.

How to fix it:

  1. Refresh the page.
  2. Make your changes again.
  3. Click Save Changes.

 

 

Note: This usually happens if you left the page open for a long time without interacting with it, or if you have the same page open in multiple browser tabs.

 

I cannot add more than 5 categories or 10 models

What you see: A message saying the maximum number of categories or models has been reached.

How to fix it: Remove an existing category or model before adding a new one. Galleries are limited to 5 categories and 10 models.

The page is loading slowly

What you see: The page takes a long time to appear or feels sluggish.

How to fix it:

  1. Reduce the number of galleries shown per page by setting Records Limit to 20.
  2. Uncheck the Show Stats box.
  3. Switch to List View instead of Card View.

 

Thumbnails are not showing up

What you see: Gallery cards show a broken image or a blank space where the thumbnail should be.

How to fix it:

  1. Run the Auto Thumb batch operation to grab thumbnails automatically.
  2. If specific galleries are affected, check that the gallery's source page is still online.
  3. If the problem affects all galleries, contact your site administrator.

 

Galleries are not appearing on the public site

What you see: You approved a gallery but visitors cannot see it.

How to fix it:

  1. Check that the gallery's status is set to Approved.
  2. Check that the gallery's schedule date is not set to a future date.
  3. If the gallery is marked as Explicit, verify that your site's content settings allow explicit content to be shown.
