What This Page Does

This is your main command center for managing every video on your site. From here you can browse all your videos, edit their titles and descriptions, assign categories and models, approve or reject pending uploads, schedule when videos go live, and perform bulk changes across hundreds of videos at once.

How to Get Here

Navigate to Admin Panel > Videos > Video Admin

Understanding the Page

When you first open this page, you will see several areas designed to help you find, review, and manage your videos efficiently.

Status Cards

At the top of the page, four colored cards give you a quick overview of your video library:

Card What It Tells You
Active (green) Videos that are live and visible on your site
Pending Review (amber) Videos waiting for you to approve or reject them
Processing (blue) Videos that are currently being converted -- check back shortly
Error (red) Videos that ran into a problem during processing
Note: These counts always show your entire library, regardless of any search filters you have applied.

Toggle Options Bar

A row of checkboxes lets you customize what you see on this page:

Option What It Does
Hide Stats Hides the category count numbers. Turn this on if the page feels slow to load.
Hide Filters Collapses the entire filter and analytics area to give you more screen space.
Video Scheduler Opens a visual calendar showing how many videos are scheduled for each day.

Your choices here are remembered between visits.

Quick Filter Buttons

A toolbar of one-click buttons that instantly apply common filters:

Button What It Shows You
Needs Review All videos waiting for your approval
Recently Uploaded The newest uploads first
HD+ Only high-definition videos
Popular Videos sorted by most views
Featured Only videos you have marked as featured
Long Form Only longer videos
HLS Enabled Only videos with adaptive streaming turned on
Reset All Clears all filters and returns to the default view
Tip: If you are not sure where to start, click Needs Review to see videos that need your attention first.

View Modes

This page offers two ways to view your videos:

  • Card View -- Shows each video as a visual card with a thumbnail, preview, and all editable fields. Best for reviewing and editing individual videos.
  • List View -- Shows videos in a compact table with one row per video. Best for scanning through large numbers of videos quickly.

Click the view toggle icons near the top of the page to switch between them.

Customizing Card View Sections

When using Card View, you can show or hide specific sections on every card to reduce clutter:

Section What It Shows
Import Mode How the video was added (uploaded, embedded, or hotlinked)
Images The thumbnail image strip
Models Model/performer assignments
Categories Category assignments
Tags Keyword tags
Metrics Metadata completeness, engagement data, and SEO score
Stats View counts, likes, duration, and resolution

Click any section name in the toggles area to show or hide it across all cards.

  3. Drag columns to rearrange their order.
  4. Click Apply to save your changes.
  5. Click Reset to Default to go back to the original layout.

Note: A few columns (select checkbox, video ID, title, and actions) are always visible and cannot be hidden.

Premium Only users with a premium membership
Paid Users who purchase access

This setting indicates how the video content is provided:

Mode What It Means
Upload The video file was uploaded directly to your server
Embed The video is embedded from another site using an embed code
Hotlink The video plays from a direct link on another server

When you select Embed, a text area appears where you can paste the embed code. When you select Hotlink, a field appears for the video's web address.

Video Scheduler

The Video Scheduler is a visual calendar that shows you how many videos are scheduled to go live on each day.

How to Use the Video Scheduler

  1. Check the Video Scheduler option in the toggle bar.
  2. A 90-day calendar appears, spanning 15 days in the past and 75 days in the future.
  3. Each day shows a count of how many videos are scheduled.
  4. Today is highlighted so you can easily spot it.
  5. Click any day to filter the video list to show only videos scheduled for that day.

The calendar uses color coding to help you see your schedule at a glance:

Color Meaning
Gray No videos scheduled
Light green 1 to 9 videos scheduled
Dark green 10 or more videos scheduled
Tip: Use the scheduler together with the Schedule Publishing bulk action to spread out your video releases evenly over time. This keeps your site looking fresh with regular new content.

Analytics Dashboard

The analytics section gives you charts and numbers about your video library so you can understand your content at a glance.

How to View Analytics

  1. Make sure Hide Filters is unchecked.
  2. Expand the Analytics Dashboard section by clicking its header.
  3. Click Refresh Data to load the latest numbers.

What the Analytics Show

Chart What It Tells You
Summary Stats Total videos, total views, total hours of content, and average star rating
Status Distribution How many videos are active, pending, processing, or in error
Quality Distribution The breakdown of video quality levels (SD, HD, 4K, etc.)
Import Mode Distribution How many videos were uploaded vs. embedded vs. hotlinked
Upload Trend A line chart showing how many videos were added each day over the last 30 days
Top Categories Your 10 most popular categories by number of videos
Top Models Your 10 most popular models by number of videos
Note: The analytics reflect your current search filters. If you want to see stats for your entire library, click Reset All first. If you want stats for only published content, filter by Active status first.

Exporting Your Video Data

You can download your video information as a spreadsheet file for use in other tools.

  1. Set up any filters to select the videos you want to export.
  2. Click Export to CSV (found near the search controls).
  3. A file downloads automatically to your computer.

The export includes details like title, description, status, upload date, views, likes, duration, resolution, quality, access type, and whether the video is featured or has streaming enabled.

Note: Each export can include up to 10,000 videos. If you need more, narrow your filters and export in batches.

Tips for New Users

Tip:
  • Start with Needs Review. After setting up your site, click the Needs Review button to see any videos waiting for approval. This is the most common starting point for daily site management.
  • Use Card View for editing, List View for scanning. Card View gives you full editing capabilities right on the page. List View is faster for reviewing many videos and making quick status changes.
  • Hide what you do not need. Check Hide Stats and Hide Filters if the page loads slowly. You can always uncheck them when you need those features.
  • Save your favorite filters as presets. If you check the same combination of filters every day, save it as a preset to apply it with one click.
  • Be cautious with bulk actions. Always start with Selected Videos Only in the Apply To dropdown. Once you are confident the action does what you expect, you can apply it more broadly.
  • Schedule your releases. Use the Schedule Publishing bulk action to spread video releases over several days or weeks. This keeps your site looking active with regular new content.
  • Use categories and tags generously. Well-organized content helps your visitors find what they want and improves your site's search engine rankings.

Troubleshooting

Videos not appearing on your site after uploading

What you see: You uploaded a video but it does not show up for visitors.

How to fix it:

  1. Go to Admin Panel > Videos > Video Admin and find the video.
  2. Check its status:

  • If it says Processing, the video is still being converted. This can take a few minutes for larger files. Check back shortly.
  • If it says Pending, you need to change the status to Active and click Save All Changes.
  • If it says Error, there was a problem processing the video. Contact your hosting provider or check the Troubleshooting Guide for video processing issues.

  1. If the status is Active but the video still does not appear, check whether a future Publish Date is set. Videos with future publish dates do not appear until that date arrives.

Page loads slowly

What you see: The Video Admin page takes a long time to load, especially on large sites.

How to fix it:

  1. Check the Hide Stats option to skip loading category counts.
  2. Check the Hide Filters option to collapse the filter and analytics area.
  3. Uncheck the Video Scheduler toggle if it is enabled.
  4. Switch to List View instead of Card View.
  5. Reduce the Per Page setting to 20 instead of 100 or 250.

Search returns no results

What you see: You searched for something but the page says "No videos found."

How to fix it:

  1. Click the Reset All quick filter button to clear all filters.
  2. Try searching again with a broader search term.
  3. Check whether you are filtering by a specific status. Deleted videos are hidden by default -- if you are looking for a deleted video, select Deleted from the status filter.

You are logged out or see "Authentication required"

What you see: The page asks you to log in or redirects you to the login page.

How to fix it:

  1. Your session has expired. Log in again at the admin login page.
  2. If this happens frequently, check with your hosting provider about session timeout settings.

You see "Invalid security token"

What you see: An error message about an invalid or expired security token when trying to save changes.

How to fix it:

  1. Refresh the page by pressing F5 or clicking your browser's reload button.
  2. Try your action again.
  3. Avoid having the same admin page open in multiple browser tabs, as this can cause token conflicts.

Thumbnails or preview images are not loading

What you see: Video cards show a placeholder image instead of the actual thumbnail.

How to fix it:

  1. The video may still be processing. Wait a few minutes and refresh the page.
  2. If the video is Active and has been processed, the thumbnail files may be missing. Try reprocessing the video from the video details page.
  3. A default placeholder image is shown when no thumbnail is available.

Bulk action says "No videos selected"

What you see: You tried to run a bulk action but got an error saying no videos are selected.

How to fix it:

  1. Make sure you have checked the boxes next to at least one video.
  2. Alternatively, change the Apply To dropdown from "Selected Videos Only" to "All Search Results" or "All in Database" if you want the action to apply more broadly.

You see a "Demo Mode" banner

What you see: An orange banner at the top of the page says "Demo Mode" and your changes are not being saved.

How to fix it:
This means the system is running in demonstration mode. Changes are intentionally blocked. If this is your production site and you did not expect demo mode to be active, contact the person who set up your site.

Warning: If you see an error not listed here, take note of the exact message displayed on screen and contact support for assistance.

How Changes Affect Your Site

Changes you make on this page are reflected across your entire site:

What You Change Where It Shows Up
Status (Active/Deleted) Controls whether the video appears anywhere on your site
Title and Description Shown on the video player page and in search results
Categories Determines which category pages the video appears on
Models The video appears on each assigned model's profile page
Tags Affects search results and related video suggestions
Featured flag Featured videos may appear on your homepage and in featured sections
Access Type Controls whether visitors need to log in, pay, or subscribe to watch
Publish Date Videos with a future date do not appear until that date
Warning: Bulk actions can have immediate, wide-reaching effects. Changing thousands of videos to "Deleted" at once removes them from your entire site instantly. Always use Selected Videos Only when testing a bulk action for the first time.
