What This Page Does
This is your main command center for managing every video on your site. From here you can browse all your videos, edit their titles and descriptions, assign categories and models, approve or reject pending uploads, schedule when videos go live, and perform bulk changes across hundreds of videos at once.

Understanding the Page
When you first open this page, you will see several areas designed to help you find, review, and manage your videos efficiently.
Status Cards
At the top of the page, four colored cards give you a quick overview of your video library:
Toggle Options Bar
A row of checkboxes lets you customize what you see on this page:
Your choices here are remembered between visits.
Quick Filter Buttons
A toolbar of one-click buttons that instantly apply common filters:
View Modes
This page offers two ways to view your videos:
- Card View -- Shows each video as a visual card with a thumbnail, preview, and all editable fields. Best for reviewing and editing individual videos.
- List View -- Shows videos in a compact table with one row per video. Best for scanning through large numbers of videos quickly.
Click the view toggle icons near the top of the page to switch between them.
Customizing Card View Sections
When using Card View, you can show or hide specific sections on every card to reduce clutter:
Click any section name in the toggles area to show or hide it across all cards.
Customizing List View Columns
When using List View, you can choose which columns appear in the table:
- Click Customize Columns.
- Click a column name to toggle it on (green) or off (gray).
- Drag columns to rearrange their order.
- Click Apply to save your changes.
- Click Reset to Default to go back to the original layout.
Sorting
Click any column header in List View to sort by that column. Click again to reverse the sort direction. An arrow icon shows whether the column is sorted ascending or descending.
Common Tasks
How to Find a Specific Video
- Type a keyword into the Search box.
- Use the Search In dropdown to narrow your search to a specific field such as Title, Description, Tags, or Models.
- Optionally select a Status filter (Active, Pending, Processing, Error, or Deleted).
- Choose how to sort results using the Sort By dropdown.
- Click Search.
How to Review and Approve Pending Videos
When new videos are uploaded (by users or through bulk imports), they typically arrive with a "Pending" status and need your approval before they appear on your site.
- Click the Needs Review quick filter button.
- For each video, review the thumbnail and preview.
- Check that the title and description are appropriate.
- Assign one or more categories (see below).
- Add any relevant models/performers (see below).
- Change the Status dropdown on the card to Active to publish, or Deleted to remove.
- Click Save All Changes at the bottom of the page.
How to Quickly Change a Single Video's Status
If you just need to approve or remove one video without editing anything else:
- Find the video in the list or card view.
- Click the green checkmark button to set it to Active, or the red trash button to set it to Deleted.
- The change takes effect immediately -- no need to click Save.
How to Edit a Video's Details
- Find the video you want to edit.
- In Card View, edit fields directly on the card. In List View, click the Edit button to open the video.
- Update any fields you want to change:
- Title -- The name visitors see on your site
- Description -- A summary shown on the video page
- Status -- Controls whether the video is visible on your site
- Access Type -- Who can watch the video (see Settings and Options below)
- Featured -- Check this to highlight the video in featured sections
- Explicit -- Mark if the content is explicit
- Publish Date -- Set a future date to schedule when the video goes live
- Click Save All Changes.
How to Assign Categories to a Video
Categories help visitors find videos by topic. You can assign up to 10 categories per video.
- Find the video card.
- Scroll to the Categories section.
- Select a category from the dropdown.
- Click the + button to add it.
- Repeat to add more categories.
- To remove a category, click the - button next to it.
- Click Save All Changes.
How to Add Models/Performers to a Video
- Find the video card.
- Scroll to the Models section.
- Start typing a model's name in the search box.
- Select the correct model from the suggestions that appear.
- The model is added as a badge on the card.
- To remove a model, click the x on their badge.
- Click Save All Changes.
How to Manage Tags
Tags are keywords that help with search and SEO.
- Find the video card.
- Scroll to the Tags section.
- Type a tag in the input field and press Enter to add it.
- To remove a tag, click the x next to it.
- Click Save All Changes.
How to Add Admin Notes to a Video
Admin notes let you leave internal reminders on a video that only other administrators can see.
- Find the video card.
- Click the Notes icon in the Metrics section.
- Type your note.
- Click Add Note.
- To delete a note, click the delete icon next to it.
Bulk Actions
When you need to make the same change to many videos at once, bulk actions save you a great deal of time.
How to Use Bulk Actions
- Check the boxes next to the videos you want to change. A sticky bar appears at the top of the page showing how many videos are selected.
- Choose what you want to do (see available actions below).
- Choose who the action applies to using the Apply To dropdown:
- Selected Videos Only -- Only the videos you checked
- All Search Results -- Every video matching your current search (the count is shown)
- All in Database -- Every single video on your site
- Click the action button.
- Confirm when prompted.
Available Bulk Actions
Change Status -- Set all selected videos to Active, Pending, Processing, or Deleted. Available directly in the main bulk actions bar.
Click More Actions to reveal additional options:
Filters and Search
Searching
Type a keyword into the Search box and click Search. Use the Search In dropdown to limit your search to specific fields like Title, Description, Tags, or Models.
Filtering by Category
- Expand the Select Categories section.
- Check the boxes next to the categories you want to filter by.
- Click Search to apply.
When category counts are visible, you will see three numbers next to each category name:
Filtering by Model
- Expand the Filter by Model section.
- Start typing a model's name.
- Select from the suggestions that appear.
- The video list updates to show only videos featuring that model.
Advanced Filters
Expand the Advanced Filters section for more detailed filtering:
To clear all filters, click the Reset All quick filter button or refresh the page.
Saving and Loading Filter Presets
If you use the same combination of filters regularly, save them as a preset so you can apply them with one click.
To save a preset:
- Set up all the filters you want.
- Click Save Current Filters.
- Type a name for the preset.
- Click Save.
To load a saved preset:
- Click Refresh to update the preset list.
- Select your preset from the dropdown.
- Your filters are applied automatically.
- Click Search to see the results.
To delete a preset:
- Click Manage Presets.
- Click Delete next to the preset you want to remove.
- Confirm the deletion.
Search History
Your recent searches are saved automatically in your browser.
- Click Search History to view past searches.
- Click Save This Search to bookmark your current search.
- Click Load Saved Search to reuse a previous search.
- Click Clear History to erase all saved searches.
Settings and Options
Access Types
When editing a video, the Access Type setting controls who can watch it:
Import Mode
This setting indicates how the video content is provided:
When you select Embed, a text area appears where you can paste the embed code. When you select Hotlink, a field appears for the video's web address.
Video Scheduler
The Video Scheduler is a visual calendar that shows you how many videos are scheduled to go live on each day.
How to Use the Video Scheduler
- Check the Video Scheduler option in the toggle bar.
- A 90-day calendar appears, spanning 15 days in the past and 75 days in the future.
- Each day shows a count of how many videos are scheduled.
- Today is highlighted so you can easily spot it.
- Click any day to filter the video list to show only videos scheduled for that day.
The calendar uses color coding to help you see your schedule at a glance:
Analytics Dashboard
The analytics section gives you charts and numbers about your video library so you can understand your content at a glance.
How to View Analytics
- Make sure Hide Filters is unchecked.
- Expand the Analytics Dashboard section by clicking its header.
- Click Refresh Data to load the latest numbers.
What the Analytics Show
Exporting Your Video Data
You can download your video information as a spreadsheet file for use in other tools.
- Set up any filters to select the videos you want to export.
- Click Export to CSV (found near the search controls).
- A file downloads automatically to your computer.
The export includes details like title, description, status, upload date, views, likes, duration, resolution, quality, access type, and whether the video is featured or has streaming enabled.
Tips for New Users
- Start with Needs Review. After setting up your site, click the Needs Review button to see any videos waiting for approval. This is the most common starting point for daily site management.
- Use Card View for editing, List View for scanning. Card View gives you full editing capabilities right on the page. List View is faster for reviewing many videos and making quick status changes.
- Hide what you do not need. Check Hide Stats and Hide Filters if the page loads slowly. You can always uncheck them when you need those features.
- Save your favorite filters as presets. If you check the same combination of filters every day, save it as a preset to apply it with one click.
- Be cautious with bulk actions. Always start with Selected Videos Only in the Apply To dropdown. Once you are confident the action does what you expect, you can apply it more broadly.
- Schedule your releases. Use the Schedule Publishing bulk action to spread video releases over several days or weeks. This keeps your site looking active with regular new content.
- Use categories and tags generously. Well-organized content helps your visitors find what they want and improves your site's search engine rankings.
Troubleshooting
Videos not appearing on your site after uploading
What you see: You uploaded a video but it does not show up for visitors.
How to fix it:
- Go to Admin Panel > Videos > Video Admin and find the video.
- Check its status:
- If it says Processing, the video is still being converted. This can take a few minutes for larger files. Check back shortly.
- If it says Pending, you need to change the status to Active and click Save All Changes.
- If it says Error, there was a problem processing the video. Contact your hosting provider or check the Troubleshooting Guide for video processing issues.
- If the status is Active but the video still does not appear, check whether a future Publish Date is set. Videos with future publish dates do not appear until that date arrives.
Page loads slowly
What you see: The Video Admin page takes a long time to load, especially on large sites.
How to fix it:
- Check the Hide Stats option to skip loading category counts.
- Check the Hide Filters option to collapse the filter and analytics area.
- Uncheck the Video Scheduler toggle if it is enabled.
- Switch to List View instead of Card View.
- Reduce the Per Page setting to 20 instead of 100 or 250.
Search returns no results
What you see: You searched for something but the page says "No videos found."
How to fix it:
- Click the Reset All quick filter button to clear all filters.
- Try searching again with a broader search term.
- Check whether you are filtering by a specific status. Deleted videos are hidden by default -- if you are looking for a deleted video, select Deleted from the status filter.
You are logged out or see "Authentication required"
What you see: The page asks you to log in or redirects you to the login page.
How to fix it:
- Your session has expired. Log in again at the admin login page.
- If this happens frequently, check with your hosting provider about session timeout settings.
You see "Invalid security token"
What you see: An error message about an invalid or expired security token when trying to save changes.
How to fix it:
- Refresh the page by pressing F5 or clicking your browser's reload button.
- Try your action again.
- Avoid having the same admin page open in multiple browser tabs, as this can cause token conflicts.
Thumbnails or preview images are not loading
What you see: Video cards show a placeholder image instead of the actual thumbnail.
How to fix it:
- The video may still be processing. Wait a few minutes and refresh the page.
- If the video is Active and has been processed, the thumbnail files may be missing. Try reprocessing the video from the video details page.
- A default placeholder image is shown when no thumbnail is available.
Bulk action says "No videos selected"
What you see: You tried to run a bulk action but got an error saying no videos are selected.
How to fix it:
- Make sure you have checked the boxes next to at least one video.
- Alternatively, change the Apply To dropdown from "Selected Videos Only" to "All Search Results" or "All in Database" if you want the action to apply more broadly.
You see a "Demo Mode" banner
What you see: An orange banner at the top of the page says "Demo Mode" and your changes are not being saved.
How to fix it:
This means the system is running in demonstration mode. Changes are intentionally blocked. If this is your production site and you did not expect demo mode to be active, contact the person who set up your site.
How Changes Affect Your Site
Changes you make on this page are reflected across your entire site:
